Ancorwell
Practice Operations · Pittsburgh

Steady the front end of your practice.

Ancorwell works with independent wellness and integrative practices across the Pittsburgh area on the path from a patient's first inquiry to their first appointment — the follow-up, the scheduling flow, the quiet operational work that decides whether someone who was looking for exactly what you offer actually ends up in your care.

Ancorwell, from ancora — anchor. A practice that is anchored runs well.

What I keep seeing

The care is excellent. The path to it has gaps.

The practices I've spoken with across Pittsburgh share a consistent pattern: five-star care and a handful of reviews that don't reflect it. Calls that go unanswered during patient hours. Inquiries that sit for a day or two because there is no one to respond while you're with a patient.

People who are genuinely looking for what you offer never make it to a first appointment — not because your care isn't excellent, but because the path from first contact to first visit hasn't had the same attention your clinical work has.

Marketing agencies work on getting more people to reach out. Ancorwell works on what happens next — making sure the people already reaching out end up on your schedule.

What changes

Three things, ninety days.

Every inquiry gets a prompt, warm response.

New patient inquiries are followed up consistently and quickly — including the ones that arrive while you're with a patient — without adding work to your week.

Fewer people quietly disappear.

People who reach out but don't book receive a clear, personal follow-up that keeps them moving toward an appointment instead of drifting to whoever answered first.

Your visibility catches up to your care.

Patients who have had strong outcomes with you are invited to share that experience, so your online presence begins to reflect the quality of what actually happens in your practice.

How an engagement works

A ninety-day pilot, with nothing to prepare.

Week one

A full review of your current new patient process, end to end — how inquiries arrive, what happens when a call is missed, how follow-up works, and what booking looks like from a new patient's perspective. You don't have to prepare anything. I work from what's already there.

Week two

Setup and testing. Everything is built to reflect your voice and your practice, and you see all of it before it touches a single patient.

Days 15–90

The system runs, and we refine it together — with a clear picture at the end of the pilot of what changed and whether it's worth continuing.

The New Patient Journey Pilot
A ninety-day engagement, scoped to your practice.

Investment is straightforward and we cover it on the first call — along with the only math that matters: what one recovered inquiry is worth to your practice each month.
Who I am

A healthcare operator, not a vendor.

I'm Ben Burns. I'm a Clinical Nurse Manager at UPMC, which means I spend most of my week inside conventional healthcare — and that's exactly why I started Ancorwell. I see every day how much unmet need exists for the kind of care independent integrative providers offer, and how often the gap between a provider's quality and their operations is what stands between a patient and the care they're looking for.

Ancorwell exists to close that gap for practices like yours: solo and small integrative, naturopathic, functional medicine, and acupuncture practices across the Pittsburgh area.

Clinical Nurse Manager, UPMC MBA Candidate, Robert Morris University Pittsburgh, PA

Patient privacy is something I take seriously — I work inside HIPAA regulations daily. Everything Ancorwell builds stays on the operational communication side of your practice, completely separate from clinical records and care decisions. That's a boundary I hold firmly.
